A 50-person independent wealth management firm  is seeking an administrative assistant to directly support an advisory team. The role will support managing directors in a client-facing position.   The firm has a flexible in-office schedule and a great, congenial culture.

Compensation : $80000 - $100000

Job Function:

  • Answer and direct all incoming calls from clients to the proper team member
  • Track client correspondence and ensure appropriate archiving
  • Contact and schedule meetings/calls with clients and prospects
  • Manage CRM system by adding new clients and other vital individuals’ contact information and maintaining current contact information. Also, use a CRM system for meeting tracking and activity reporting
  • Assist in the preparation and printing/delivery of reports and other materials for client meetings; scan materials where needed
  • Send out group-wide communication to clients, such as quarterly commentaries
  • Notify clients regarding notable account cash flow activity
  • Prepare new account opening and account maintenance-related forms
  • Team management
  • Manage team calendars and team inbox
  • Manage expense reports for members of the team
  • Coordinate travel on behalf of team members
  • May assist the team with some financial planning data entry as needed

Job Requirements:

  • Bachelor's degree
  • Minimum of 3 years in administrative work within the financial services industry
  • Strong computer skills and aptitude for technology, including Microsoft Office systems (Excel, Word, PowerPoint, etc.)
  • Strong interpersonal skills with the ability to interface with other teams and clients at all levels
  • Strong written and verbal communication skills, excellent grammar, and phone/office etiquette
  • Exceptional attention to detail and level of organization with the ability to multi-task and prioritize
  • Ability to work well under time pressure and work independently but can also determine when it is appropriate to escalate an issue
  • Practical problem-solving skills, ability to be resourceful in finding solutions
  • Solid work ethic, professionalism, and positive attitude - takes initiative, and accepts accountability
