WhiteCap Search is seeking a proactive and organized Executive Assistant to Head of Sales/Client Service Coordinator. Job Function:

  • Organize and manage sales department email inboxes, organize and prioritize emails
  • Work with Head of Sales to manage and organize contracts and fee agreements
  • Organize and log all sales activities related to contracts in the ATS system
  • Organize all new client on-boarding documents in appropriate shared cloud locations
  • Work with Head of Sales to run and manage all stat reporting for sales functions
  • Work with marketing to execute email campaigns to prospective clients, manage in-bound leads to sales team
  • Coordinate and schedule calls for Head of Sales and Executive Leadership


Job Requirements:

  • Experience in a fast-paced business environment, preferably in sales support or administration.    
  • Excellent time management and work prioritization skills to meet deadlines consistently.        
  • Excellent written and verbal communication skills for clear and effective interactions.        
  • Proficiency with ATS and VMS platforms is advantageous.        
  • Advanced/above-average computer skills, including a typing speed of at least 60 words per minute.        
  • Highly organized with experience managing heavy workload and reporting needs.
