A prominent global real estate firm active for over 40 years with a headcount of over 4,000 professionals is seeking two Executive Assistants to join their Fund Management team. The position will be in-office full-time. The candidate will anticipate, initiate, coordinate, and follow up on logistics for the heavy travel required for the team. This position will be based in New York, NY.

Compensation : $80000 - $100000

  • Manage calendars, schedule meetings for the team, anticipate potential conflicts, and work across different office locations and time zones
  • Arrange and coordinate extensive domestic air and ground travel, and other accommodations
  • Coordinate and plan events both in New York and throughout the United States; including but not limited to lunch/dinner reservations, client networking events, etc.
  • Process expense reports and liaise with Finance teams on a daily basis, in a timely manner
  • Organize and maintains files in shared drives (Dropbox and Box)
  • Manage conference room booking and scheduling
  • Assist with and prepare presentation decks, internal and external marketing materials, and brochures for client engagement and property site visits
  • Organize and order office supplies as needed Act as point person for any new hires/consultants, onboarding and IT setup
  • Assist with ad hoc and special projects as assigned

Job Requirements:


  • Bachelor's Degree
  • Minimum of 2+ years of administrative and/or executive level experience
  • Strong knowledge of Microsoft Outlook; proficient in Microsoft Word, Excel, PowerPoint
  • Strong communication skills; both written and verbal
  • Strong multitasking capabilities, time management, organizational and problem-solving skills
  • Professional demeanor with experience as an independent and forward-thinking contributor
  • Comfortable working in a fast paced environment, shift direction easily and prioritize
  • Experience working in a corporate environment is highly preferred
  • Experience in a role that requires a high level of discretion with confidential information
