Our client, a long-standing family run cleaning/real estate/operations company, is seeking to hire a 2nd Executive Assistant to their President. This is a newly created role due to growth.


Compensation : $85000 - $110000

Job Function:

  • Keep agenda and take precise notes during team meetings, particularly with respect to the scope and deadlines of tasks.
  • Regular follow-up with client vendors and staff to ensure that tasks meet both scope and deadline requirements.
  • Generate updates/reports based on feedback received by the Assistant to the President on pending projects.
  • Complete a broad variety of administrative tasks including managing dynamic and complex calendars; composing and preparing confidential correspondence; arranging and developing
    itineraries and meeting agendas.
  • Review correspondence and respond directly on behalf of the CEO; flag communications requiring attention or identifying the right person
    in the Company to respond.
  • Manage office supply and equipment budgets, as well as own vendor relationships (food
    delivery, supply ordering, and equipment providers) while maintaining safe and organized work environment.
  • Greet office visitors and handle deliveries to President/CEO.
  • Monitor and track attendance and time off for office staff.

 



Job Requirements:

  • 5+ years of EA experience within real estate, operations, or a corporate structure
  • Highly intelligent, flexible and self-reliant with outstanding verbal and written
    communication skills.
  • Energetic, enthusiastic and interested in learning within a fast-paced, fast-growth
    organization
  • Advanced MS Office skills. Must be tech savvy.
  • Able to prioritize conflicting needs; handle matters expeditiously, proactively, with follow-through
    on projects to ensure successful completion, often with deadline pressures.
  • Proactive team player who can handle and anticipate the needs of the executives and function as a trusted partner.
  • Emotional maturity, maintaining an even temperament in the most challenging and
    demanding environment.
