Our client, a leading international investment bank, is seeking to hire an Administrative Partner to support a Vice Chairman in their Infrastructure Division.  


Compensation : $120000 - $140000

Job Function:

  • Organize and schedule a high volume of client and internal meetings/calls and events
  • Proficiency in Microsoft Outlook and Microsoft Dynamic preferred
  • Manage incoming and outgoing communications, including email, phone calls, and mail
  • Take and relay messages accurately, respond as needed
  • Provide backup support and phone coverage for other Administrative Assistants
  • Manage and book complex point-to-point international and domestic travel - flights, hotels, rental cars, ground transportation, using American Express Travel/Concur
  • Provide related information as needed - directions, alternative and back-up options, commuting time, time differences, etc.
  • Book travel and ground transportation for client events, roadshows, etc.
  • Oversee the processing and submission of complex expense reports on a timely basis
  • Partner with the expense reporting assistant to accurately code expenses and provide backup documentation as necessary
  • Ensure accuracy and compliance with company policies
  • Trouble shoot as needed for missing receipts from hotels, restaurants, etc.
  • Proficiency in Concur preferred

 



Job Requirements:

  • Minimum of 7 years experience in a fast paced environment, preferably in the financial services industry
  • Technology – proficiency with Word, Excel, and Outlook, Concur, Microsoft Dynamic
