A prominent 60-person investment advisory firm is seeking to hire a Office Administrative Assistant/Receptionist. The position will be high comp and provide great growth/opportunity to grow into senior administrative or financial analyst career.

Compensation : $80000 - $100000

Job Function:

  • Maintain calendars and prioritizes meeting requests and related logistics
  • Provides administrative support to the Financial Advisor
  • Coordinates internal/external meetings and conference calls
  • Handles a high volume of phone calls and emails and interacts with business leaders in a professional and effective manner while maintaining confidentiality
  • Responds to and follows up on client requests
  • Maintains an understanding of the group’s policies and handles certain tasks and responsibilities independently
  • Preparation of client documents, and follow up to completion of transactions
  • Responsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, events, etc.
  • Orders supplies and keeps inventory well-stocked

  • Associate or bachelor’s degree preferred
  • Ability to handle highly sensitive, confidential, and non-routine information
  • Financial Services Experience preferred
  • 3+ years of administrative experience preferred
  • Demonstrated dependability and sense of urgency that results in client retention
  • Proficient experience with Microsoft Office Suite; ability to learn new software and enterprise programs quickly
  • Knowledge of office management systems and procedures
  • Excellent communication skills, including oral, written, presentation and interpersonal skills with the internal team, clients, and partners
  • Ability to think proactively to anticipate needs and prepare accordingly
