A 1200-person international asset management firm is seeking to hire a team assistant to support their infrastructure investment. 

Job Description:


Compensation : $85000 - $95000

  • Calendar Management: Monitor multiple calendars, create meetings, manage RSVP’s, follow up with attendees and maintain organized schedule’s
  • Meeting Coordination: Setup both in person and web meetings. This will include ensuring tech is running smoothly, and for in person setting up the room, ordering refreshments and preparing the meeting materials
  • Administrative Support: Finalizing PowerPoints and corporate reports. Printing, binding and packaging materials
  • Travel coordination – work with team members to book travel through the company agency and in adherence with the Travel & Entertainment Policy (this may include ground transportation, hotels, flights, connecting logistics)
  • Expense report management – monthly expense reporting, reconciling credit cards balances and following with team members where necessary
  • Ongoing monitoring of all expense reports until submission and final payment
  • Work with other departments: May support with research, work with other departments  

Job Requirements:


 

  • 3-5+ years of professional experience supporting a team as an Executive Administrative Assistant, Senior Executive Assistant or other secretarial position. Experience in financial services is preferential
  • Intermediate working knowledge of Microsoft Suite including Word, PowerPoint, Excel and Outlook
  • Positive, team-player mentality with can-do attitude
  • Strong attention to detail
  • Excellent verbal and written communications skills
  • Ability to handle highly sensitive, confidential, and non-routine information with integrity and confidentiality
